Reimbursement Request Deadlines

This article applies to you if you have a Via Benefits reimbursement account (sometimes known as a Health Reimbursement Arrangement)*.

There isn't a deadline for you to submit reimbursement requests for the prior year if your former employer allows unused funds to roll in to the next plan year or roll back so that new funds can be used to pay for previous year's expenses.

  • Rollover In is when remaining funds from prior years may roll forward to pay expenses if current plan year contributions are exhausted. Funds remain in the allocated year unless needed to pay for expenses in future years. There is not usually an expense submission deadline.

  • Rollover Out is when you may submit reimbursements for expenses from the prior year using future contributions after prior plan year contributions are exhausted. Without an expense submission deadline, you may file for the previous years.

A deadline is set for submitting reimbursement requests if your former employer requires you to use funds within the plan year. Refer to your plan documents to confirm the reimbursement request submission deadline.

For example, if your former employer or benefits provider offers a plan that goes in to effect January 1, 2023, the deadline to submit your reimbursement requests the following year is generally three months (March 31, 2024), six months (June 30, 2024) or twelve months (December 31, 2024).

You can view your expense deadline on the mobile app dashboard.

To view your deadline to submit expenses on the website, follow these steps:

1. Sign into Via Benefits.
2. Select View Accounts in the Funds and Reimbursements section.
3. Select Visit the Reimbursement Center for the desired account on the Request Reimbursement and Manage Funds tab.
4. The claim deadline to submit expenses appears on the Dashboard and the Account Overview. You don't have a deadline if no information appears.

This example shows the Account Overview when the employer allows funds to roll in and roll out. The Available Balance for each year is the same as the Total Available Balance because both are the sum of the available funds in all plan years. Your balance for any year can be used to make payments for any other year.

 

This example shows the Dashboard for an account that has a deadline to incur expenses and a deadline to submit expenses. There are no funds that roll in or roll out.
